Event/Catering Intern

The Intern will work closely with the Events & Catering Manager to learn the intricacies of catering from both a sales and operations standpoint, and will learn event planning, organization and oversight of all on-sight event logistics.  The Intern will have the opportunity to work directly with event and/or catering customers to coordinate the details of their events including, but not limited to, menu selections, tastings, linen rental, set-up, and floral design.  The intern will learn how to properly set-up and execute event and/or catering following the specific timeline and guidelines for each event.  Excellent customer service, for clients and guests, attention to detail, and the ability to be organized and multi-task, is an expectation.
 
The Intern will be expected to attend internal and customer meetings. Meetings may include customer site visits, pre-planning meetings, internal staff meetings, event ordering meetings, and staff meetings.
Responsibilities
  • Assistance and on-site and off-site events, including set-up and tear-down.
  • Assist in developing custom menus for events.
  • Work closely with vendor partners (i.e., rentals, florists, etc.) in arranging services.
  • Marketing of catering services.
  • Assist with inventory management.
  • Act as a liaison with staff as it pertains to event execution.
  • Ensure effective planning and communication between appropriate Isabel’s Market staff.
  • Create and maintain detailed event notes for events taking place in the event space as well as post-event evaluations.
  • Help to develop, and subsequently uphold, policies and procedures for all private events.
  • Coordinate client and vendor communications, written and verbal, leading up to and during the event.
  • Assist with administrative details pertaining to events including data entry, photocopying, and communication distribution.
  • Offer input and suggestions into projects and operations.
  • General administrative support.
 
 
Learning objectives

  • Demonstrate awareness, understanding and skills necessary to work in a diverse environment.
  • Experience opportunities to learn, observe, and practice a variety of experiences in the world of hospitality.
  • Sales:  Spend time cultivating sales with the Events & Catering Manager.
  • Process:  Understand the process of event planning from the initial contact with the client and the steps necessary to execute the event.
  • Booking:  Providing pricing and fees; tailoring the event to any special needs or wants.
  • Communication:  Communicating the expectations and meeting the goals, keeping on the same page.
  • Negotiation:  Experience the contract portion of the event and fine tuning the details of the event.
  • Contracts:  Discussing the terms of the contract, the services provided, solidifying dates and deadlines, necessary staffing, policies of the event/cancelations, parking, etc.
  • Closing:  Examining the financials, collecting payment, menu costing, etc.
  • Follow-up:  Access the catering event and determine anything needed for improvement; keep an ongoing relationship with client(s).
 
Experience/qualifications

  • Previous experience in hospitality and customer service is preferred.
  • Strong communication skills, written and verbal.
  • Professional attitude and appearance.
  • Ability to stand for long periods of time and walk significant distances.
  • Ability to operate multiple computer programs and office equipment, including POS.
  • Pursuing a Bachelor’s Degree in Marketing, Hospitality, Event Planning, or a related field.
 
Schedule

  • May through Labor Day (dependent upon academic schedule).
  • Part-time, approximately 25-35 hours/week, depending upon events schedule.
  • Weekend and evening hours required.
  • Weekly schedule may vary.
 
Compensation
  • $10/hour
